Administrative Assistant

Job Summary:
The Administrative Assistant works closely with the Executive Director, ensuring smooth
operations with staff, clients, and vendors.

 

Duties/Responsibilities:
• Provides administrative support for the organization to maintain effective relationships with the board,
staff, community partners, vendors, clients, volunteers, and the general public.
• Supports the agency’s financial management processes, contracts, and invoicing, etc.
• Manages mail, email, scheduling, database, conference and video platforms,
• Manages the Board calendar and scheduling for the board meetings, committee meetings and such,
facilitates effective communication between the board and the Executive Director,
• Develops and manages an efficient and effective document sharing system, and maintains organizations
files, and tracks and adheres to document retention policies,
• Provides support to program-specific activities, fundraising program outcomes through the data
management system, developing reports and impact briefs for programs and services,
• Manages donor management system, developing processes for effective donor engagement and
retention, manages the website, social media and brand messaging.
• Maintains office area and supplies and completes other duties as assigned.


Required Skills/Abilities:
• Excellent verbal, written communication, interpersonal and customer service skills.
• Excellent organizational and time management skills with a proven ability to meet deadlines and
prioritize tasks.
• Must have the ability to work independently with diverse populations; perform multiple tasks often with
multiple deadlines
• Strong analytical and problem-solving skills.
• Ability to function well in a high-paced and at times stressful environment.
• Proficient with Microsoft Office Suite, Google Workspace, and Salesforce, or related software.
• Must have reliable public or private transportation.
• A valid Pennsylvania driver’s license is required; the use of a vehicle is preferred.
• Availability during evening and weekend hours, as needed
• Must obtain FBI fingerprints and Child Abuse Clearance within 1 week of employment. (Please provide
the Youth Education Coordinator with original receipts, for reimbursement costs of


Education and Experience:
• Bachelor’s degree preferred, or business school with equivalent with 3-5 years experience.


Physical Requirements:
Prolonged periods of sitting and standing, must be able to lift 15-20lbs.
